What is Dept ID?
Dept ID is used to track the amount of paper that each user prints. Schools can set limits to each ID to prevent waste and manage printing budgets.
Which printers can use Dept ID?
Only Canon copiers
Who manages the codes and sets the limits?
Someone within the school. In most schools, it’s the bookkeeper that sets the codes and paper limits.
How do you set it up?
- Someone within the school scans a barcode on the Canon copier and then calls Canon. They can either be walked through the process of setting it up on their end or set up a time for a Canon Rep to come out.
- The school then creates a code (up to four digits) for each staff member within the school to use. We highly suggest they create a spreadsheet with the names and codes before calling Canon.
- Once the first two steps are completed, they need to call the Helpdesk to request turning on the Dept ID feature. Technology will put in a ticket for the Sys Admins and include the name of the printer/s.
- Once the Sys Admin ticket is complete, all users within the school need to restart their computer so their group policy will update.
- Now, users will need to setup the printer on their device for Dept ID:
- Windows Users: Windows - Set Up Dept ID
- MacOS Users: MacOS - Set Up Dept ID
- Now, when users print, it will prompt them to enter their Dept ID code.
